When a transaction is under contract we will:
- Set-up file in CTM's TC management system with agent's customized Transaction Workflow.
- Introduction emails will be sent, providing a timeline of deadlines with a copy of the executed contract to the other agent, buyer/seller - (Your client as appropriate) lender and title company.
- Ensure everything is fully executed with dates, initials, signatures, and handle all documents securely.
- Create file/Submit all required contract documents to broker transaction management system for compliance.
- Draft/send/request disclosure packages and gather signatures if needed.
- Ensure the lender, title company, and broker receive any amendments or changes to the contract.
- Verify EM deposit and obtain receipt from title or listing brokerage.
- Confirm inspection(s) has been set up in accordance with offer deadline.
- Keeping in contact with the title company and lender throughout the transaction. Provide agent email updates on the status of the transaction keeping you informed.
- Update deadlines due to any changes in the contract.
- Order Home Warranty per contract if needed.
- Schedule lender check-ins for appraisal/financing timeline updates and completion.
- Ensure your buyer/seller is provided a copy of all documents.
- Upload all disclosures, documents, and reports into agents online transaction management service as they are received or fully executed throughout the transaction. (if applicable)
- Maintain constant contact with all parties involved for status updates as well as outstanding items.
- Verify title has all required documentation.
- Coordinate and confirm final walk-through if needed.
- Schedule signing appointment for client and agent if applicable.
- Conduct a final audit of file prior to closing to ensure all documents are uploaded and the file is complete.
- Upload Final closing documents to online transaction management service for compliance.
- Close file and update MLS (if on list side) and confirm with agent.

BUYERS SIDE:
- Upload buyers rep agreement and all broker required forms for compliance.
- Submit all executed contracts, counter-proposals, and amendment extensions (if applicable) to lender.
- Send EMD instructions and confirm receipt.
- Upload all forms, amendments, and addendums for compliance.
- Follow up on repairs and receipts from inspection.
- Give utility contact info and remind the buyer to transfer utilities.
- Send closing details / reminder to client.
SELLERS SIDE:
- Upload Listing Agreement and all broker required forms for compliance.
- Follow up signatures of all documents.
- Upload all forms, amendments, and addendums for compliance.
- Follow up on repairs and receipts.
- MLS Data Input for agent final review and approval (This is an add-on service)
Agent Expectations
Communication is KEY! CTM will be able to collaborate and support you BEST with frequent check-ins and updates. We're not here to take over your client relationships, we're here to provide support. You will still be the main point of contact, negotiator and advisor to your client/customer. If CTM is drafting documents, the agent will provide terms/verbiage, review and approve before being sent to client.
Fee Schedule
- Listing or Buyer Side: $375.00
- Listing Set-up in MLS: $25.00
- Dual Transaction: $550.00
All fees are paid when the file succesfully closes according to CTM Services Agreement.
Setup New Listing File
- Complete listing file creation in agents preferred software.
- Add client to agents CRM database.
- Email title company to order Preliminary Title Report.
- Prepare Listing agreement.
- Prepare seller disclosures and any Brokerage specific documents.
- Pre-listing packet emailed to the seller prior to listing appointment.
After Documents are Signed
- Obtain all signed sellers Listing Documents, completed seller disclosures, and Brokerage specific documents.
- Input listings into the MLS (add-on service).
- Have listing agent edit or approve MLS input before going live.
- Email seller copy of live listing and signed listing documents.
- Add required documents to the MLS listing.
- Add all listing documents, seller disclosures, and Brokerage signed documents to broker compliance.
All fees are paid when the file succesfully closes according to CTM Services Agreement.
- Input/upload transaction details and required under contract documents to agent brokerage compliance with in one business day of execution
- Ensure everything is fully completed with proper dates, initials, signatures, broker information is completed and reach out for corrections as necessary and monitor compliance with the contract
- Upload all disclosures, documents, and reports into agent's online transaction management service as they are received or fully executed throughout the transaction
- Conduct document reviews of file throughout the transaction to ensure all documents are uploaded and the file is complete
- Provide status updates via CTM's transaction management service to agent
- Input client information and status updates to agent CRM (if applicable)
- Input listing property details and manage status changes in agent MLS as needed
- Upload MLS required documents and photos for listings
All fees are paid when the file succesfully closes according to CTM Services Agreement.
